ATM and Vending Machine Service Management
ATM and vending service teams look after thousands of machines in many locations, under contracts that promise fast response. This covers organising machines, call-outs and preventive visits.
ATM and vending machine service is mostly a matter of volume. There are many machines, spread across bank branches, malls, offices, stations and hospitals, and contracts promise a response within hours. Good service teams know every machine they look after, deal with faults in order of impact and keep preventive visits on schedule.
A register of every machine
Record for each machine:
- Model, manufacturer, serial number.
- Location, with the exact placement: "Mall entrance B, next to the pharmacy".
- Install date and warranty.
- The customer: the bank, the operator or the site owner.
- Status: in use, under maintenance, retired.
Site access notes count for a lot in this work: bank branch hours, who holds keys, security procedures, mall service entrances.
Fault response
Faults come in from the customer's helpdesk or from monitoring. For each one:
- Create a job against the machine, with a priority.
- Send the nearest engineer who has the right skills.
- Track it through assigned, travelling, on site and completed.
- Close it with what was found and fixed, the parts used, and sign-off where required.
Measure response time against what the contract promises, and look into the late ones.
Preventive visits
Regular servicing prevents many faults. It covers cleaning dispensers and card readers, checking printers, lubricating mechanisms and, in vending machines, checking the cooling. Schedule visits per machine, or one visit per location that covers all its machines. When preventive visits fall overdue, expect more faults later.
Parts
Keep common parts such as card readers, printers, rollers and coin mechanisms on the engineer's van. Record every part used against the job and the machine. If one machine keeps needing the same replacement, something deeper is wrong.
Evidence for the customer
Banks and operators often want proof of each visit and repair: photos, the time and place of the visit, and sign-off from the branch or site.
Security
ATM service means working in secure areas. Keep procedures in the access notes, use roles to restrict who sees what, and never put security codes in job notes.
In Movtro
In Movtro each machine is an asset with model, manufacturer, serial number, warranty, status and job history, placed at a site with access notes. Fault calls become jobs with a priority, and dispatch suggests an engineer based on skills, workload, availability and travel time. Movtro measures on-time performance against one arrival target you set for the whole organisation; it does not hold a separate target per contract. Recurring jobs schedule preventive visits per machine or per location and flag overdue ones. Engineers record parts used from stock, photos, notes and sign-off on the phone. Roles and permissions control who sees what.

Movtro does not connect to ATM monitoring systems or handle cash replenishment.
