Field Employee Expenses, Reimbursements and Advances

Fuel, parts bought on the road, parking and meals. How to handle field expenses and salary advances without lost receipts, double payments or arguments at month end.

Field staff spend money doing their jobs: fuel, a part from a local shop to finish a job, parking, tolls, a meal on a long day. Many of them also need a salary advance now and then. If both are handled informally, they cause constant friction: lost receipts, late reimbursements, payments made twice and advances nobody remembers agreeing to.

Expenses

What a claim needs

  • The date, amount and category (fuel, travel, parking and tolls, meals, tools, materials, communication, other).
  • A photo of the receipt, taken when the money is spent instead of pieced together at month end.
  • What it was for: the job, customer or site, where that applies.
  • A short description.

Approval

There are two usual routes:

  • Straight to HR or finance, for small teams.
  • Supervisor first, then HR. The supervisor knows whether the spend was needed, and HR checks the paperwork.

Nobody should ever approve their own claim.

Reimbursement

You can pay each claim separately once it is approved, or add it to the next payroll. Either way, the rule that matters most is that an expense is reimbursed once. If an expense goes into a payroll run it must not also be paid separately, and one that has already been paid must not show up in payroll.

Rules worth writing down

  • What can be claimed, and any limits.
  • How soon after spending someone has to submit a claim.
  • What happens if there is no receipt.
  • When reimbursements are paid.

Salary advances

Advances are common in field teams and easy to get wrong. A sound process looks like this:

  1. The employee asks for an amount and gives a reason.
  2. A manager approves or declines it, with a note.
  3. The advance is paid out, and the date and method are recorded.
  4. It is repaid in agreed instalments, deducted from pay each month until it is settled.
  5. Both sides can see the balance at any time.

Most disputes over advances happen because step 5 is missing and nobody can say how much is left.

Why it matters

Paying expenses back clearly and quickly is one of the cheapest ways to keep field staff happy. People who pay for fuel out of their own pocket and then wait six weeks for the money notice, and it shows in how willing they are to go the extra mile.

In Movtro

In Movtro's HR module, field staff submit expenses from their phone with a photo of the receipt, a category and, if they want, a link to the job, customer or site. You choose whether claims go straight to HR or to the employee's supervisor first and then HR. Nobody approves their own. Approved expenses are reimbursed separately or added to the next payroll run, and Movtro makes sure the same expense can never be reimbursed twice.

Staff request advances in the app. Each one is approved or declined, paid out, and repaid in instalments that payroll deducts or that are recorded by hand. The outstanding balance is always visible, and an advance is marked settled when it reaches zero.

Expense claims and salary advances come with the Operations + People plan.
