Announcements Field Staff Actually Read

A policy update in a WhatsApp group is gone within an hour. How to send announcements to field staff that reach the right people, stay findable and can be shown to have been read.

Field staff rarely see a notice board or an email inbox. Most companies fall back on WhatsApp groups, where a new safety rule sits between a birthday message and a joke and has scrolled away by lunchtime. When something goes wrong, nobody can show who was told.

What makes an announcement work

  • It reaches the right people. Not everyone needs every message: a change to the electrical safety procedure is for technicians, while a new expense policy is for everyone.
  • It is short. Give the title, what changes, from when, and what to do, with a link to the full policy if there is one.
  • It arrives where people already are, as a notification on the phone they use for work.
  • It stays findable, so people can look it up next month.
  • For important ones, you know who has read it.

Choose the audience

Send to everyone only when it applies to everyone. Otherwise target by role (technicians, supervisors), by department, or to named people. The fewer irrelevant messages people get, the more attention they give to the ones that matter.

Set a priority

Keep most announcements at normal priority and save urgent for safety, legal or same-day operational changes. If everything is urgent, people stop treating anything as urgent.

Schedule and expire

Write announcements ahead and publish them at the right time, such as the Monday a policy starts. Give time-limited notices (road closures, a holiday schedule) an expiry date so the list stays current.

Ask for acknowledgement

For safety rules, policy changes and anything you may need to prove later, ask staff to confirm they have read it. Then follow up personally with anyone who has not.

Writing for field staff

  • Lead with what changes: "From 1 October, all rooftop work needs two people."
  • Use plain words and short sentences, since many staff read in a second language.
  • Say what to do: "Tell your supervisor before starting any rooftop job."
  • Add who to ask.

What to keep out of announcements

Conversations belong in messages, job details on the job, and personal matters in one-to-one discussions. Announcements are for things the whole audience needs to know.

In Movtro

In Movtro you can send an announcement to all staff, selected roles, departments or named employees, with a priority from low to urgent. Announcements can be scheduled to publish later and set to expire. Recipients get a notification on the phone and can find past announcements in their HR section. When an announcement requires acknowledgement, staff confirm they have read it, and HR sees who has acknowledged it and when. You can attach the full policy.
