Movtro: A Simple Transportation Management System (TMS) for Small Fleets

For small trucking and haulage firms, Movtro handles the daily TMS work: load dispatch, drivers, live location, proof of delivery and customer updates.

Ask the owner of a ten-truck haulage or delivery firm what they need from a transportation management system (TMS) and they will rarely mention freight procurement or carrier rate management. They want the right driver at the right pickup, to know where everyone is, proof that the delivery happened, and fewer phone calls asking "where is my load?".

Enterprise TMS products are built for shippers and brokers moving freight across many carriers. A small local or regional fleet with its own drivers needs a TMS for running the day, and that is what Movtro does. The trucking and haulage page gives an overview.

What a TMS does for a small fleet

For a fleet of anything from a handful to a few dozen drivers, the daily TMS work is:

  1. Taking in loads, collections and regular runs.
  2. Assigning loads to drivers and putting each driver's day in order.
  3. Giving drivers their stops, directions and the details for each.
  4. Seeing where drivers are now and where they have been.
  5. Proving delivery.
  6. Keeping customers informed without phone calls.
  7. Accounting for drivers' time and costs.
  8. Reporting on what was delivered on time, what was not, and why.

Set up for loads from day one

A company that signs up as Trucking & haulage finds Movtro already using its terms:

  • Jobs are called loads and technicians are called drivers. You can change any of these words.
  • Load stages are Assigned, To pickup, At pickup, In transit, Delivered, Office check and Closed.
  • Load types are Full load, Part load / multi-drop and Container move, each with a proof-of-delivery checklist and a required signature.
  • Load fields cover the load number (which the customer can see), trailer type, weight, pickup address and extra charges such as lumper or waiting time.
  • There are asset types for trucks and trailers if you want to keep a record of each vehicle.

Loads, customers and stops

You set each customer up once, with their delivery addresses as sites. Each site has a map pin and access notes covering the gate, the bay and the booking-in contact.

Each load is a job with a customer, a delivery site, a due time, a priority and a driver. On the load you list its stops in order: pickup, delivery and anything in between. The driver taps Arrived and Left at each one, which records the time spent there, so waiting time at a slow warehouse is on record instead of in someone's memory.

Regular runs can be set up as recurring jobs. Customers with portal access can raise requests themselves. Your team turns a request into a load by choosing the driver and time, and the customer is told it is booked.

Planning and dispatch

The dispatch board shows one day by driver, with unscheduled loads in a pool at the top. When you assign or reassign a load from its card, the driver gets a notification on their phone. Suggest assignee ranks drivers on skills, workload, availability and, where live location is available, travel time.

For each driver, Plan route turns the day's jobs into numbered stops. You set the order, and Movtro shows a straight-line distance, a travel estimate and an expected arrival time for each.

On the road

Drivers use the Movtro Android app or the web app on their phone. They see their day in order with access notes, open Google Maps for directions, and move each load through its stages with a tap, and the dispatch board updates as they go. Stage changes, checklist answers, notes, photos and signatures are saved on the phone when there is no signal and sent once it comes back.

Live location and recorded routes

Location follows the driver's shift. You decide whether live location is off, left to each driver, or required while clocked in. Nothing is recorded outside a shift.

  • The team map shows each clocked-in driver's latest position, and marks Tracking interrupted if the Android app has sent nothing for more than 15 minutes during a shift.
  • The Android app records each driver's route during their shift, and you can look back at any day in the last 90 days.
  • On a load, you see the route recorded while it was being worked and the distance driven. When the driver used the stops, that distance is split into empty (to the pickup) and loaded (from the pickup to the last delivery).

See driver shifts, hours and live location.

Proof of delivery

Each load collects its own proof: labelled photos, the checklist (seal number, load secured, count matches the paperwork, received by, for example), notes, and the receiver's signature with their name. Required checklist steps, and any photo or signature the load type asks for, must be done before the load can be completed. You can set a stage so it can only be reached near the delivery site. When the load is completed, Movtro builds a PDF report you can email to the customer. See proof of delivery for small fleets.

Customer visibility

Customers with portal access can follow their loads. While a load is in a travelling stage such as To pickup or In transit, they see the driver's position for that load only. Afterwards they see the photos and signature and can download the report.

If you turn them on, Movtro also sends an "on the way" message when a load first moves into a travelling stage, and a "nearly there" message when the driver gets within a distance you choose of the delivery site. Each goes out once per load, to the customer's email and their portal contacts, and gives only the driver's first name.

Driver time, costs and pay

Drivers clock in and out on their phone. Movtro works out hours, lateness against each driver's working hours, and overtime, and reminds drivers who forget to clock in or out. Drivers can claim fuel, parking and tolls with a photo of the receipt, linked to the load. With Movtro's HR features, payroll is built from approved attendance and payslips go out to drivers. See pricing for what each plan includes.

Reports

The jobs report shows completed and overdue loads, on-time rate, time in each stage and problems by category. The workforce report shows each driver's completed loads, on-time rate, hours, overtime and late days. Reports export to CSV or PDF and can be emailed on a schedule.

What Movtro is not

Movtro runs the work of a small fleet. It is not a freight or compliance system, so it has:

  • No ELD or hours-of-service logging, and no tachograph analysis. Fleets with ELD obligations keep their ELD alongside Movtro.
  • No IFTA or fuel tax reporting, and no fuel cards.
  • No load boards, freight brokerage, rate confirmations or bills of lading.
  • No vehicle telematics. Location comes from the driver's phone during their shift.
  • No automatic or truck-specific route optimisation, and no invoicing.

When Movtro fits

Movtro suits a fleet running its own drivers on local or regional work: haulage for regular customers, multi-drop delivery, delivery and installation, building materials, wholesale distribution and container moves. If your business brokers freight across carriers, or does long-haul work with heavy compliance requirements, a freight TMS should be the core system, and Movtro can still run local drivers and proof of delivery around it.

Frequently asked questions

Is Movtro a TMS?

Movtro is a simple TMS for small fleets that run their own drivers. It handles the daily transport work: dispatching loads, ordering each driver's day, pickup and delivery stops, live location and recorded routes, proof of delivery and customer updates. It is not a freight TMS for brokerage, load boards or compliance.

Can a small trucking company use Movtro as its TMS?

Yes, if what you mainly need is to run local or regional drivers and loads: who goes where, in what order, and with what proof. Load boards, rate confirmations, IFTA reporting and ELD data stay in dedicated tools alongside it.

Does Movtro replace my ELD?

No. Movtro records shifts for attendance and pay, and location from the driver's phone during their shift. It does not record hours of service for compliance, so if your drivers must use an ELD, keep it.

Does Movtro record waiting time at pickups and deliveries?

Yes. When a load has stops, the driver taps Arrived and Left at each one, and the load shows how long they spent at every stop.
