Appliance Repair Service Management

Warranty calls, home bookings and parts that decide whether a repair happens today. How appliance repair businesses and brand service centres get through a busy day.

Appliance repair is high volume and low margin. The work is on washing machines, refrigerators, air conditioners, cookers and dishwashers, mostly in customers' homes, and a business makes money by doing many jobs a day and fixing each one on the first visit. Brand service centres also have warranty rules to follow and a manufacturer who wants a report on every claim.

The job

  1. Booking: appliance type, brand, model, and the symptom in the customer's own words.
  2. Warranty check: the purchase date and serial number decide whether it is covered.
  3. Diagnosis on site, which is often the part that takes the most skill.
  4. Repair, if the part is on the van. If not, order the part and book a second visit.
  5. Test and hand over: run the appliance through a cycle with the customer watching.
  6. Record what failed, what was replaced and the serial numbers.

Fixing it on the first visit

Going back a second time for a part halves the margin on a job. To raise first-time fix:

  • Ask the right questions at booking: exact model, error code, what happens and when.
  • Stock vans with what actually fails: pumps, belts, door seals, thermostats and control boards for the most common models.
  • Make the history available. A machine seen twice before with the same fault is not a new problem.

Warranty work

Brand service centres need proof for each warranty repair: the serial number, purchase date, fault, part replaced and often the failed part itself. Photos of the serial plate and the failed part make the claim easy to support.

Scheduling a busy day

A typical day is many short jobs across a city. Group them by area, order them to cut travel, and leave room for the repair that runs long. See technician scheduling.

What to measure

  • First-time fix rate, by appliance type.
  • Jobs per technician per day.
  • Second visits for parts.
  • Repeat calls on the same appliance within 90 days.

In Movtro

In Movtro each booking is a job with the customer, site and appliance. The appliance can be recorded as an asset with its brand, model, serial number, purchase date and warranty expiry, so the technician can see warranty status and past repairs. On their phone, with or without signal, technicians record the diagnosis in notes, photograph the serial plate and failed part, log parts used from van stock and take the customer's signature. Customers can book repairs and follow them through the portal. Dispatchers assign jobs from one board with a suggested technician, and routes can be planned stop by stop.

Movtro does not submit warranty claims to manufacturers. The job record is the evidence you submit with the claim.
