Field Visit Tracking: Proof of Every Customer Visit

Record each customer visit with a location-checked check-in, notes and photos, and turn the day into a report a manager can read in two minutes.

Visits are the work of a sales rep, a merchandiser, an insurance surveyor, a loan officer or an NGO field worker. A visit leaves nothing physical behind the way a repair does. If it is not recorded, it might as well not have happened, and if it is recorded badly, nobody can tell a real visit from one written up in the car park.

Field visit tracking means recording each visit in a way that is quick for the person making it and trustworthy for the person reading it.

What a visit record needs

  • Who, where and when: the customer, the location and the time.
  • Proof of presence, meaning where the person was when they checked in compared with the customer's location.
  • What happened, in a short note covering the outcome, the next step and anything the office must act on.
  • Evidence where it matters, such as a photo of a shelf, a display, a property or a document.
  • A short checklist for anything that must be covered on every visit.

That is enough. Every extra field takes time from the next visit.

Plan the day, not just the visits

Without a plan, visits drift towards the customers who are pleasant, nearby or easy. A simple daily plan fixes most coverage problems:

  1. List the visits for the day, including the ones people avoid.
  2. Put them in a sensible order to cut down back-and-forth driving. See route optimisation for field teams.
  3. Leave room for the visit that runs long and the one that gets cancelled.
  4. At the end of the week, compare plan with actual: which visits were planned but never made, and why.

Location-checked check-ins

The most useful thing visit tracking can do is record where the person was when they checked in and how far that is from the customer. That answers "did they go?" without anyone watching a map.

Two cautions. GPS inside a shopping centre or an office block can be out by hundreds of metres, so judge each reading against its accuracy. And check that each customer's location is correct in the first place, because a shop pinned to the wrong street makes every honest visit look suspicious.

Daily reports people actually read

Long end-of-day messages are written late, rarely read and acted on even less. A better daily report builds itself from the visits:

  • visits planned and made;
  • the outcome of each, in one line;
  • anything that needs action from someone else;
  • time from first to last visit.

A manager should be able to read it in two minutes and see exactly where to step in.

Coverage and frequency

Over a month, visit tracking tells you whether you are seeing the customers you should, as often as you should. Look for customers nobody has visited for too long, and customers visited far more often than their value justifies.

Getting the team on side

Visit tracking can feel like surveillance. It goes down better when you:

  • explain that it protects good work, which otherwise goes unseen;
  • keep the record short, so it is faster than a phone call;
  • track during working hours only (see how to track field employees without losing their trust); and
  • use it to fix coverage rather than to catch people out.

In Movtro

A community drop-in recorded in Movtro: who was met, whether the purpose was achieved, attendance, and a section per household with the support needed and any follow-up.

In Movtro a visit is set up as a job at the customer's site. Each visit has its own record with notes, photos and checklist items, and nothing is lost when someone leaves. Starting the visit records where the person was and how far that was from the site, allowing for the phone's accuracy, and visits that started well away from the site show up flagged for the office. The day's visits can be put into a multi-stop route and reordered by hand, and each stop opens in the person's maps app. All of it works without signal and syncs later.

Attendance, live location during working hours, and reports on visits and time per person are included. Movtro does not handle sales targets, territories or order booking. It records the visit, not the sale.
